We are seeking an experienced and highly organized Office Manager to play a pivotal role in shaping the day‑to‑day experience of our Shared Services Centre in Łódź. This role goes beyond operational excellence - combining administrative and operational leadership with a strong focus on people, culture, and employee engagement.
The successful candidate will act as a trusted partner to site leadership and employees, driving employee engagement initiatives, fostering a vibrant and inclusive workplace culture, and owning internal and external communication for the site. With a proactive, hands‑on mindset, candidate will manage multiple priorities, build strong stakeholder relationships, and ensure seamless, compliant office operations.
MAIN RESPONSIBILITIES
- Oversee purchase order creation and compliance in SAP and Ariba, ensuring strong governance, audit readiness, and alignment with internal controls; actively manage office budgets, accruals, and forecasting while identifying and delivering cost‑optimization opportunities.
- Lead, develop, and inspire the Documentation Processing and Reception Teams, setting clear priorities, defining service standards, ensuring adequate coverage, and driving performance, engagement, and continuous improvement.
- Oversee all aspects of day‑to‑day office operations, including vendor and contract management, landlord relationships, health & safety, and site administration, ensuring a secure, efficient, and compliant workplace that supports business continuity.
- Act as a key driver of employee engagement and site culture by designing and delivering engagement initiatives, coordinating All‑Staff meetings and leadership communications, and contributing to strategic workplace and change initiatives.
- Strengthen internal communication and global collaboration by enabling transparent, consistent information flow across sites, supporting cross‑site initiatives, and coordinating holiday and coverage planning to maintain operational stability.
- Serve as a trusted partner to site and GBS leadership, proactively identifying risks and improvement opportunities, supporting transformation initiatives, and ensuring the Łódź site remains aligned with global standards and ways of working.
CANDIDATE PROFILE
- Strong and proven experience in office or facility management, ideally within SSC/BPO environment.
- Higher education degree (Finance, Management, Administration or related field preferred).
- Strong knowledge of SAP; experience with Ariba is an asset.
- Fluent English (C1 minimum).
- Excellent organizational, analytical, and problem-solving skills.
- Some formal or informal team management experience.
- Comfortable working in a dynamic, fast-paced environment.
