We are seeking a highly capable Software Asset Manager to join our IT Service Excellence team immediately in a Hybrid capacity at Gurgaon office.
Job Summary – Software Asset Manager (SAM)
In this consultative, process-driven position, you will own the end-to-end software lifecycle—from procurement through deployment, optimization, and retirement—eventually leveraging tools like ServiceNow We are seeking a highly capable Software Asset Manager to join our IT Service Excellence team and play a critical role in delivering cost-effective, compliant, and transparent software asset management. This role goes beyond operational management—serving as a key driver in designing, building, and maturing our Software Asset Management (SAM) capability and associated processes within the ServiceNow platform.
The ideal candidate combines strong Asset Management expertise, particularly in SAM Pro, with a strategic mindset and hands-on experience in building capabilities and processes from the ground up—delivering both immediate impact and sustainable long-term value.
Primary Duties:
SAM Process
- Develop and identify SAM process that will enable the active management of licensing renewals, reclaiming and contracts.
- Maintain accurate software asset records, including Software Models, Entitlements, Discovery Models, and the Software Catalog. We configure licenses, normalize discovery data (from Intune, JAMF, etc.), and ensure alignment between installed software and entitlements.
- Upon the creation of policies, you will own, train, and administer them, ensuring that all employees, teams, and external partners adhere to the guidelines and standard procedures.
- This position will collaborate with multiple internal teams to design integrations with interfacing processes, enabling automated capabilities with procurement, finance, and third parties.
- License Reconciliation & Compliance
- Perform ongoing reconciliation of discovered installations versus entitlements to confirm compliance, flag non-compliance, and take corrective actions. We support internal and external SAM audits and address findings.
- Contract & Entitlement Management
- You will develop a curated set of reports to enable informed decision-making with actionable data across the organization, proactively mitigating risk and facilitating cost-effective management and future contractual negotiations.
- Review software contracts, create corresponding entitlement records, and maintain publisher metrics (per device, per user, core-based). We adhere to licensing terms and keep contract data up to date.
- Optimization & Cost Control
- Analyze usage reports to identify reclaimable software and consolidation opportunities. We partner with procurement and vendors to optimize licensing investments.
- Reporting & Stakeholder Engagement
- Build dashboards and reports for IT, finance, and leadership teams, reporting on compliance, risk, usage trends, and cost savings. We proactively collaborate to align SAM practices with organizational goals.
SAM Administration
- Develop and Administer software models, entitlement configurations, and publisher packs. Ensure CMDB health to support accurate license reconciliation.
- Process Governance & Improvement
- Document SAM workflows, policies, and procedures. We identify process gaps or inefficiencies and lead cross-functional initiatives to improve SAM maturity and automate where possible.
- Supply information and support for the development of IT budgets and forecasts.
- Generate and distribute various reports, including compliance reports on current assets and CIs and their status; also perform trend analyses.
- Communicate with internal and external stakeholders in an open and timely manner, providing all needed information and support.
- Provides guidance in asset management principles and decision-making processes; assists departments in business process documentation and improvement.
- Establishing data collection schedules, standards and methods for use in supporting complex risk-based decisions using accepted asset management principles and practices.
- Prepares and presents comprehensive technical, administrative, and financial analytical and statistical reports that present and interpret data, identify alternatives, and justify conclusions, forecasts, and recommendations based on data summaries and other findings.
- Performs other related duties as assigned.
Key Responsibilities:
- Execute and oversee software asset life cycle processes as designed by ITSE, operating specifications and preventive maintenance strategy, to include asset creation, tracking, condition assessments, maintenance, and disposal functions.
- Execute the analysis, documenting, tracking and reporting on a wide variety of software condition assessments, including establishing data collection schedules, standards and methods for use in supporting complex risk-based decisions using accepted asset management principles and practices.
- Communication with peers and upper management, as appropriate, relative to issues, problems, and general status
- Leverage data insights to advise on actionable areas for improvement or other actions to ensure operational value is maintained
- Ensure that reporting and metrics are defined which can be shared to drive results which improve or exceed expectations across all areas of asset management
Additional/Secondary Responsibilities
- Contributing to the development and refinement of the software asset management policies and schedules as needed for future enhancements.
- Engaging with internal and external resources to ensure clarification, changes, resolution, are addressed.
- Resolve stakeholder related issues and escalate to manager or Director of Strategy and Value Optimization as appropriate.
Required Qualifications:
- Bachelor’s degree in business or equivalent
- 4+ years in Software Asset Management using tools like ServiceNow SAM Pro (Yokohama or later) or similar tooling.
- Proficient with asset management, CMDB, Software Discovery. Strong ability to configure entitlements, manage publisher packs, and reconcile data.
- ITIL Foundation, IAITAM Certified Software Asset Manager (CSAM), or equivalent.
