POSITION OVERVIEW
Under general supervision, the Employee Business Services Coordinator will provide  front desk administrative and service support, create business correspondence, process invoices, order supplies, create purchase requisitions and maintain records.  Additionally, this Coordinator will greet guests, respond to inquiries, serve as front-desk security during the day, and plan & execute employee engagement and benefit programs as necessary.
 
RESPONSIBILITIES
•    Answers incoming calls, responds to routine inquiries, greets visitors, prepares and maintains announcements/notices and updates electronic message board(s)
•    Maintains logs for access cards and keys to the building
•    Sorts & distributes incoming mail
•    Applies postage and mails outgoing mail each day
•    Maintains adequate postal supplies
•    Processes invoices, sets up and tracks purchase requisitions in SAP for goods and services for the building
•    Organizes and maintains all contracts associated with the facilities group - a dollar amount of $500,000
•    Handles data entry of CAAP projects, PO processing, and departmental record keeping and filing
•    Coordinates timely service requests for room reservations, maintenance, facilities, audio-visual equipment, and other special requests as necessary
•    Provides support for Employee Benefit programs such as Educational Assistance, Health and Wellness Screening, and Retiree Mailings
•    Supports special projects/mailings
•    Distributes and keeps track of Company passes (i.e. passes to the Baltimore Zoo, Aquarium, Science Center and other employee discount programs)
•    Maintains current building access (C-cure) records
•    Creates/issues employee and contractor badges and initiates requests for new, transferring & separating employee maintenance

 

 REQUIRED QUALIFICATIONS
•    High School Diploma / GED
•    Excellent verbal and written communication skills
•    Strong organizational skills
•    Excellent teamwork, interpersonal skills with a friendly, outgoing and helpful nature
•    Demonstrated ability to exercise good judgment, make quick decisions, and adapt to change
•    Projects professional demeanor in person and by phone
•    Ability to concentrate in high traffic area, multi-task and deal effectively with large volumes of work  
•    Proficient with Microsoft Office and advanced technology applications
 
PREFERRED QUALIFICATIONS
•    Minimum 3 years of administrative/clerical, receptionist or facilities experience
•    SAP experience
•    Associate’s Degree
