We are looking to hire an Employee Business Services Coordinator immediately at our Global Headquarters in Hunt Valley, Maryland.

POSITION OVERVIEW

Under general supervision, the Employee Business Services Coordinator will provide front desk administrative and mailroom support at the Global Headquarters location. Responsibilities include sorting, and distribution of incoming mail and packages, preparing shipping labels and postage for outgoing mail and packages, while also providing front-line customer service by answering the main company phone line and supporting the front reception desk. This role ensures timely delivery of correspondence, professional handling of visitors and callers, and smooth operation of general office services. Strong computer skills are essential for managing mail systems, email communications, and administrative tasks.

RESPONSIBILITIES

Mail & Package Handling

  • Receive, sort, and distribute all incoming mail, courier deliveries, and packages to appropriate recipients or departments.
  • Prepare and process outgoing mail and packages, including postage, shipping labels, and courier arrangements.
  • Ensure time-sensitive documents are prioritized and delivered promptly.

Front Reception Desk Support

  • Greet and assist visitors, clients, and vendors in a professional manner.
  • Ensure visitors sign in and follow building security protocols.

Telephone Support

  • Answer the main company phone line promptly and professionally.
  • Direct calls to the appropriate departments or personnel, take accurate messages, and provide basic company information.
  • Handle inquiries courteously and maintain a positive company image during all interactions.

Administrative/Office Support

  • Maintains current building access (C-cure) records
  • Handles data entry of CAAP projects, PO processing, and departmental record keeping and filing
  • Organizes and maintains all contracts associated with the facilities group - a dollar amount of $500,000
  • Processes invoices, sets up and tracks purchase requisitions in SAP for goods and services for the building
  • Distributes and keeps track of Company passes (i.e. passes to the Baltimore Zoo, Aquarium, Science Center and other employee discount programs)

Computer & Administrative Skills

  • Use email, word processing, and spreadsheet applications (e.g., Microsoft Outlook, Word, Excel) for communication and record-keeping.
  • Use online courier portals for booking shipments and printing labels.

 

Qualifications

Education & Experience

  • High school diploma or equivalent required.
  • Previous experience in a mailroom, shipping/receiving, office support, or receptionist role preferred.

Skills & Competencies

  • Strong organizational skills and attention to detail.
  • Excellent verbal communication, telephone etiquette, and interpersonal skills.
  • Proficient in Microsoft Office (Outlook, Word, Excel) and comfortable learning new software.
  • Customer service orientation with a professional demeanor.
  • Ability to work efficiently and meet deadlines in a fast-paced environment.
  • Ability to lift packages up to 50 lbs.

Working Conditions

  • Primarily based in the mailroom, with regular duties at the front reception desk and via phone.
  • May require occasional lifting, bending, and use of hand trucks or carts.
  • Standard office hours.

Base Salary: $21.46/hr - $32.21/hr


Base salary compensation will be determined based on factors such as geographic location, skills, education, experience for this role, and/or internal equity of our current employees as part of any final offer. This position is also eligible to participate in McCormick’s Dividend Program.
