The Regional Sales Administrative Specialist will report to the VP, Regional Sales .

POSITION OVERVIEW

This Regional Administrative Specialist will be responsible for assisting in the CPD Sales administrative area. This includes both traditional secretarial duties and critical involvement in a wide variety of efforts including monitoring departmental budgets, managing the VP, Regional Sales calendar, sales meeting coordination, business proposals, and customer and field sales support. This is a high volume, demanding position requiring an individual with superb organizational skills, independent decision-making skills, and the ability to prevail with tight deadlines.

RESPONSIBILITIES

  • Administration of the regional sales budget, ensuring appropriate accounting for all expenditures. Make recommendations for improvement/savings.
  • Plan and arrange regional meetings, including site location, reservations, catering, travel, etc.
  • Attend meetings as required to be on site contact and participate as requested in meeting activities. Forecast meeting expenses and budget accordingly.
  • Negotiate and effectively recommend lease arrangements for the office, its equipment and/or all associated maintenance services. Ensure proper implementation of those agreements.
  • Plan and implement strategies for dissemination of information to Customer Business Managers on changes to electronic communication and reporting systems.
  • Audit and maintain sales data input.
  • Prepare business review reports and presentations, as required.
  • Develop and maintain sales administration procedures for the regional office, ensuring effective
  • communication of information between the field and Hunt Valley, MD office.
  • Acts as liaison with Field Sales personnel and insures proper follow through on the various requests for Corporate and Divisional services, such as timekeeping, payroll, etc.
  • Compiles and maintains sensitive data regarding sales, budgets, profit information. When requested, analyze and summarize.

REQUIRED QUALIFICATIONS

  • High School Diploma / GED
  • General administrative/secretarial experience.
  • Proficient computer skills including creating and editing abilities in MS Word, MS Excel, PowerPoint, and Outlook.
  • Excellent oral and written communication skills.
  • The ability to interact with individuals on all organizational levels, both internally and externally, and maintain a high degree of confidentiality.
  • Excellent organizational skills, including prioritizing diverse tasks.
  • Ability to work well under pressure, prioritize and work independently, as well as part of a team, to meet department needs.
  • Ability to prepare timely, accurate reports and presentations.

PREFERRED QUALIFICATIONS

  • 3 years experience as executive assistant in mid - size firm.
  • Meeting planning experience for groups of 20 or more at an offsite location.
