Key Responsibilities

  1. Office Operations 
  • Oversee daily administrative tasks including office maintenance, supplies, visitor reception, and routine support for departments.
  • Assist in implementing and enforcing administrative policies and procedures.

2.    Vendor & Service Provider Management 

  • Coordinate with vendors including travel agencies, hotels, stationery providers, express couriers, security companies, etc.
  • Coordinate with direct sourcing team and support contract negotiation and monitor service quality and cost efficiency.

3.    Admin Budget & Reimbursement Support  

  • Assist in tracking departmental expenses, supporting cost control and budget compliance.
  • Assist in administrative reimbursements, invoice checking, and payment coordination.

4.    Employee Engagement & Activities   

  • Coordinate and execute employee engagement activities, such as annual outings, year-end parties, health check-ups, blood donation, and etc.
  • Support execution within budget and ensure smooth event logistics.

5.    Team Support & Coordination   

  • Support the Admin Manager in team performance tracking, task assignment, and training organization.
  • Provide guidance to junior admin staff as needed.

6.    Government Liaison Support

  • Assist in maintaining good relationships with relevant government authorities.
  • Support the preparation of required documentation for annual inspections, on-site checks, and other regulatory matters.
  • Ensure administrative files and licenses are compliant and up to date.

7.    Internal Communication & Service Delivery

  • Act as a service liaison between admin and internal teams, maintaining responsiveness and professionalism.
  • Support smooth communication with external vendors and partners.

8.    Visitor & Expat Support 

  • Assist in visa applications, residence/work permits, accommodation leasing, and local support for expat staff.
  • Arrange logistics for business visitors, including but not limited to hotel bookings and pick-up services.

9.    Company Vehicle & Driver Management 

  • Coordinate the use of company vehicles, manage car schedules and driver performance.
  • Support routine car maintenance, insurance claims, and rentals.

Qualifications & Requirements
•    Bachelor’s degree, Business Administration, Public Affairs, or related field is preferred
•    Minimum 8-10 years of experience in general admin or office operations
•    Strong interpersonal and communication skills
•    Detail-oriented, well-organized, and hands-on
•    Proficient in Microsoft Office; knowledge of facility management systems is a plus
•    Familiarity with local regulations and government processes is preferred
