This Administrative Assistant I-II will be responsible for providing support to the Springfield Logistics Center Leadership team and will interact daily with all levels of Division, Corporate and Interdivisional personnel.  The position requires a strong ability to prioritize assignments and complete projects through information gathering, summarizing, and collating data. 



  • Performs or coordinates varied managerial duties and high-level administrative responsibilities of a complex and confidential nature for the Springfield Logistics Center and the Site Leadership Team.
  • Plan and arrange meetings, including agenda, site location, reservations, catering, travel, etc. Attend meetings as required and participates in committee meetings and other activities as required.
  • Document and communicate follow-up items from various meetings to ensure accountability among team members
  • Track budget and assist with planning process and supporting information.
  • Act as liaison between Supply Chain and other functional areas to collaborate on efficient ways of working and manage scheduling conflicts.
  • Prepare expense reports, manage calendars, order supplies, and other office duties as required
  • Applies high level of PC application skills, including word processing, development of spreadsheets and presentations
  • Exercises judgment with respect to urgency, confidential information, and potential problems
  • Maintains and updates weekly, monthly reports, manages Plant tour requests, employee communications, processes incoming mail, screens and directs telephone calls.
  • Represents our shared values in greeting or receiving visitors to the DC and provides information regarding business matters as appropriate


Specific tasks include:

  • Managing and executing reimbursement for travel and expense reports
  • Managing badge creation and access process for new and current employees
  • Various Tracking, Reporting, and Data Entry – such as overtime, attendance, etc.
  • Facilitate payroll process with temporary agency and team managers
  • Manage yearly building events including service awards, wellness screenings, Company Picnic tickets, C-Day forms.
  • Manage building communications including SFLC phone directory, general meeting notices, or other as needed communications
  • Manage first day supplies and temporary badges for new hires



  • Prior work experience in office, business or related area required.
  • High school degree or equivalent required.  College coursework or specialized training preferred.
  • Competency in Microsoft Word, PowerPoint and Excel required. 
  • Ability to prepare spreadsheets and create presentations
  • Excellent communication skills, both written and verbal.
  • Ability to multi-task, ability to plan and organize work to meet scheduled deadlines and ability to recognize when to seek clarity regarding competing work demands.
  • Proactive and timely in responding to requests.
  • Excellent attention to detail and high degree of accuracy in all work.



  • Minimum one year demonstrated experience above position.
  • Ability to anticipate and initiate cyclical activities.
  • Proven job related complex problem-solving and independent judgment abilities.
  • Strong performance in unique job-specific duties as defined by the leader (internal candidates).
  • Well-developed organizational skills, including paper and electronic filing systems.
  • Proficient in job-specific computer systems.
  • Ability to exercise discretion and handle confidential material and information.
  • Demonstrates professional, positive, service-oriented behavior in all interactions.
